Do we have a right to be forgotten?

The European Commission’s proposal (Published 25th January 2012) that individuals should have a legal right to be ‘forgotten’ online has got everyone thinking about how they use social networking sites and what, if possible, they would like the Internet to ‘forget’ about them.

But how many organisations think about how their staff members are using social networking sites? And to what extent does staff personal use of Facebook, Twitter, YouTube and LinkedIn affect the company?

Do you know how many of your employees use Twitter and what they say after a particularly challenging or interesting day at the office?

You may not let your staff access Facebook during working hours but that doesn’t mean that when they get home they’re not damaging your reputation or spilling corporate secrets to their hundreds of “friends”.  Social networking can make or break your company’s reputation; if used strategically and with guidance, social media provides a fantastic vehicle for developing staff networks, finding new leads, increasing knowledge and raising your organisation’s profile. In this new media age, what your customers and employees say about you on social networking is as important, if not more important than traditional advertising.

To make the most of the opportunities that social media presents, and to protect against negative use, guidelines are a must. Help your staff to help themselves and the organisation as a whole by putting in place some simple rules and policies, including:

  • A social media policy, which flows from your overall Cyber Security Strategy
  • Cover all angles and future possibilities with a ‘catch all’ clause for sites including Twitter, LinkedIn, Facebook, YouTube
  • Establish a corporate policy for those that use your brand on media sites and for HR reasons
  • Don’t forget to include personal use of social media in your policy, that ensures staff:
    • Do not talk about your customers, clients, partners or third party suppliers
    • Do not discuss staff or products in a negative manner
  • Social media training for all staff and internal awareness campaigns
  • Ensure that all staff know where they can access social media guidelines and that use is monitored

Whilst in 2012 social media is set to be one of the most rewarding public relations tools, it also has the potential to destroy your business: strategic cyber security reaps benefits. A series of simple boundaries and controls will not only protect your staff, but your organisation as a whole, whilst optimising the social media revolution.
